The charter in practice

Standard case

According to the IRMP charter, any trip by bus, train or car with at least 3 people (driver included) will be funded with up to 100€ (200€ for a round trip). This covers first class tickets, car rentals and accomodation when stopping for the night.

In practice, to be able to use this funding, it is not possible to book the trips through Carlson Wagonlit. The traveler should thus pay for the tickets themselves and ask to be reimbursed on an expense note. The note should contain a mention that the traveler wants to use the fund and specify the desired amount, up to the specified maximum. The difference will be billed on the typical funding source for the member. In the case of first class travel, one should add a document showing the extra cost compared to a second class ticket. Note that in case of need, it is possible to ask for anticipated reimbursement, in which case you can fill the expense note after paying for the trip but before the trip itself.

Non-standard case

The IRMP can also encourage any initiative aiming at reducing the environmental impact of research activities. Such a request should be approved by the IRMP "Sustainable development comity". This approval is required before any spending, and should be sent to the green-team-irmp@listes.uclouvain.be  mailing list.
